Scanning and archiving are essential tools for the installation of an electronic data management system (EDMS). While scanning converts paper documents into electronic data, archiving assures that such data are organized and stored in suitable media for ease of authorized accessibility and retrieval. Many organizations are adopting EDMS as a solution to the deficiencies associated with management of paper documents. Scanning is done on-site (in the client’s office anywhere in Nigeria) or off-site (in Nubuck Reprographics Office, Port-Harcourt)
Large format scanning
Oversized
documents up to 42 inches wide can be scanned in color, gray scale or black and
white using Xerox Synergix color enabled scanner. Scanning of such documents is
done off-site. The documents may be manually produced drawings, blue prints,
maps, aerial photographs, well-logs and posters or may be up to 100feet long.
With our excellent editing software we can clean up dirty background, convert paper drawings into AutoCAD format (raster to vector conversion, or vectorization), or contourize maps. Therefore, apart from getting good quality images, engineers, architects and cartographers can modify their drawings and maps without necessarily starting from the scratch.
Scanned images can be printed using our HP printers (Designjet 500, Business Inkjet 2800 or Deskjet 9650) or archived.
Small Format Scanning
Documents up to legal size can be scanned both on-site or off-site using HP 7400c series and Fujitsu fi-4120c scanners. These are high volume scanners with speed of 15 and 25 pages per minute respectively. Besides, with the HP scanner, we are able to scan photographs, negatives, slides and transparences up to 5x5cm.
Our editing software gives us a wide latitude in the manipulation of scanned images. This has proved invaluable in refurbishing old photographs, changing the background of photographs and editing texts.
Archiving
The objective of archiving is to create a digital library with enhanced searching and easy retrieval of data. Our capability for efficient handling of large batch document scanning and archiving facilitates the establishment of a document management system that allows organizations to effectively control the flow of their documents. As a prelude to this, folders or files of images are indexed during scanning using key field data. Furthermore, at the request of a client, Nubuck Reprographics will develop an in-house application for the retrieval and searching of data in the database through an SQL programming language. Scanned images are saved in various file formats-TIFF, JPEG, PDF, EPS, BMP, DXF and DWG and burned on CD-ROMs. However, other storage media will be used at the discretion of the client.
